Overview of the role:
1. Recruitment& Selection:
· Maintain a database of budgeted positions viz-a-viz current status, number of vacant positions and work towards providing suitable manpower for vacant positions.
· Get directions from the Director about the new positions, contribute actively in planning the recruitment cycle of such new requirements and implement them.
· Completely responsible for recruiting all the vacant positions of the organization.
· Generate offer letters; contract letters for the selected candidates issue them.
· Collect documents from employees as per standard checklist
· Maintain the personal files of the positions and update them regularly.
· Developing Standardised JD.
2. On boarding and Induction:
· Hand over an appointment file to Every new Employee which include all the documents and policies related to organizations expectation from the employee code of conduct.
· Responsible for ensuring new Employee has read and understood Jeevodaya HR policies , values, working culture , Principles , CPP etc. and a hard copy accepted with signature.
· Responsible for planning and ensuring systematic induction for all new employees of the designations.
· Ensure that induction plan is signed off and filed in the personal file of all employees.
3. OD Exercise .
· Preparing a Job Description
· Conduct a task inventory for the existing and/or proposed position.
· Observe staff persons who are engaged in similar activities
· Share your list with other staff persons who are engaged in similar work and with those who supervise them.
· Determine the position title and identify the logical supervising position.
4. Attendance and Leave management:
· Track the attendance of all staff day wise in provided excel format (or) in the Spine Software as per organization requirement and communication.
· Track leave database, eligibility, availed and closing balances of leaves in excel format (or) Spine Software
· Provide this information on monthly basis to Programme Manager , Finance Manager for payroll input.
5. Salary Processing / Payroll Provide
· Payroll inputs such as attendance summary, leave summary, other deductions to payroll employee wise in specified format for processing payroll.
· Review and updating of data in Spine software on regular basis
6. Employee data
· Maintain the complete data base of all employees in payroll in specified excel sheet / Spine Software and update them regularly with any changes
· Maintain and update the organogram along with the master data of employees
7. Performance Management
· Responsible to Track Probation reviews with timelines and ensure outcomes are communicated formally through letters.
· Responsible to Communicate the process of annual / midyear appraisals, receive, verify the forms and share the consolidated outcome in specified formats.
· Responsible to ensure that contract renewals are done in a timely manner.
· Responsible for OD exercises for all projects at least twice a year.
· Maintain local donation record and initiate Fund raising .
· Functional Knowledge of staff and leadership development.
· Track staff Leadership Management & Result framework.
· Responsible for quarterly performance review and Yearly Appraisal of all staff along with director.
· Overseeing adherence of all the Organization’s Policies at all levels
· Responsible for dealing with HR related matters and communicate the same with the Director
· Key Result Areas (KRA) development for all staff at the beginning of the year
8. Employee Separation
· Ensure resignation letters are received for employees who intend to leave.
· Conduct exit interviews in specified formats and share with Management and finance Manager on a monthly basis.
· Follow up for the clearance certificate and ensure final settlement is done within standard agreed timeline.
· Preparation of experience certificate
· Responsible for filling the staff separation sheet.
9. Data Management
· Maintain the HR files such as employee personal files, recruitment file, PF related documents.
10. Employee Engagement
· Coordinate and manage a wide range of employee engagement activities on regular basis Collaborate with Manger on programs / activities that will maximize employee engagement and satisfaction
· Support the various functions during the on boarding of new joiners to ensure the orientation process is properly completed
· Coordinate and manage Job Description exercise within each project in Collaborate with P. Manger and coordinators for project deliverables.
· Visit and participate in the weekly review meetings twice in a month

Post Graduation - MBA/PGDM
A female candidate who has a Post graduate Degree of HR , Fluency in English & Hindi reading& writing. Advanced Knowledge in HR and Counselling skills
· High level of analytical & conceptual thinking. · Ability to perform multi task. Highly motivated, responsible, self-directed and resourceful
· knowledge in ICPS , JJ ACT , CWC & Child Rights Ability to conduct and organize training , induction, Review and appraisal of staff. Who has a Minumam 3 years of experience working as an HR in the NGO set up .
