Job Description

Blossom Trust is seeking a highly experienced Office Manager to support the management of our new TB project aimed to bridge the gap between national and community response towards Tuberculosis to foster inclusive and stigma-free access to health services at all levels.


The Office Manager will support the overall management of the administrative and financial components of the project, ensuring that the programme is implemented in line with the budget, FCRA requirements and Blossom Trust’s policies. The Officer Manager will also liaise with our Project Manager, Outreach Team, and Project Assistant, oversee programme M&E and ensure regular updates.



Specific Responsibilities


Manage the administrative, financial and M&E components of the project cycle.

Prepare high quality and timely progress reports to the Project Director and Project Manager at the head office.

Coordinate with project’s partners (PAC) to ensure their technical progress aligns with Blossom’s project progress.

Ensure all activities are in line with the budget, the timeline and the log frame.

Ensure all staff are aware of their roles and responsibilities.

Ensure communication between staff is maintained and all data is collected and reported updated daily.

Oversee day to day financial transactions related to the project and ensure they are in line with approved project budgets.

Prepare monthly and quarterly financial reports in line with Blossom internal and donor requirements.

Support the project team to ensure they carry out their M&E responsibilities and sure collect and regularly submit monitoring data of high quality and within the agreed timeframe.

Oversee the input of field-level monitoring data into the M&E database.

Coordination of regular project monitoring meetings at the Virudhunagar office with the field staff and project team to monitor project progress and ensure learning feeds into planning and implementation.

Support the Project Manager in organising logistics for meetings, events and training.

Coordinate with the staff to develop and maintain strong project administrative systems, ensuring project records are accurate, up to date and are field and stored appropriately.

Assist the auditors and donors with the coordination and preparation of the project audit.

Facilitate review meetings in coordination with the Project Manager for the Project Assistant, the Outreach Workers, Office team and Executive Director.


Job Requirements


Education: Postgraduate education in social work, business, commerce, economics, public health, international development only.

Professional experience in managing administrative project processes.

Experience in managing budgets and financial components is necessary.

Experience in TB related projects is a plus.

Experience with the project cycle with a specific focus on M&E processes.

Experience in working closely and managing relationships with external partners and stakeholders.

Experience in producing high-quality reports.

Strong communication skills.

Good computer skills with a working knowledge of using Outlook, Microsoft Office and Zoom.

Basic knowledge of statistics and analysis. Previous experience with SPSS, Stata, SAS, R, is desirable.

Good attention to detail.

Language Skills: Tamil and professional knowledge in English required.

Preferably he/she/they would be based out of the southern districts of Tamilnadu.
