Job Description

Admin./ Estt. And Premises

1. Overall in charge of all purchases and its supervision in the projects prepares an annual procurement plan in consultation with the Project Managers. Manages the implementation of sound procurement practices to minimize costs and to adhere to Prayas Admin and Finance Code in close coordination of Manager Resource.


2. Overall in-charge of all issues related to telephone bills, electricity bills, water tax, house tax, etc. of all Prayas infrastructures through maintenance of respective files and interactions with the concerned government departments/agencies and officials

3. Responsible for transport management, including Prayas owned vehicles .

4. Supervision, maintenance of log book & records and movement of vehicles of the organization in the Head Office and outside including insurance updates & renewal

5. Analyzing the need, developing and executing the support systems and putting in place required systems for services like security, safety, housekeeping, preventive maintenance, office stationery etc.

6. Constitution and convening of Meetings, Review, follows up taken about the Governing body, Core Group, Steering & Project level committees as per the laid down policies.

7. Responsible for complete arrangements for Annual events, conferences, seminars and other meetings being held at Head Office.

8. Monitor the Dak movement and the proper disposal through the concerned manager person and finally their documentation on the relevant files.

9. Monthly reviews of office expenses at all locations and suggest and issue checklist to control administrative expenses.

Other Duties

1. Overall in charge and custodian of all files and its update through coordination with various concerned departments/projects and its managers

2. Working with the Director Projects and ensures that reports are submitted in the correct format and on time to Prayas funding agencies.

3. Working with Finance Controller Prayas and ensures the compliance of financial guidelines and regulations throughout the organization.

4. Undertake any assignments as instructed & directed by the General Secretary Prayas.

5. Report on a regular basis to the Director Projects & General Secretary, Prayas

Candidates for the above position at least be MBA WITH PERSONAL MANAGEMENT & INDUSTRIAL RELATIONS OR EQUIVALENT, POSSESSES GOOD COMMUNICATION SKILLS FOR BOTH VERBAL & WRITTEN WITH A MINIMUM OF 5 YEARS EXPERIENCE IN THE FIELD. OF H.R.& ADMINISTRATION .

Salary for the above positions will depend and finalized on the basis of competencies and salary history of the candidate.
