Job Description

Role & responsibilities:


• Assist in procurement in alignment with internal compliances.

• Assist in issuance of consulting services agreements, work orders, purchase orders.

• Assist in logistics arrangement for in house and outside meeting and workshops.

• Scrutiny and verification of bills / invoices submitted by vendors, consultants and contractors before releasing payment as per CHRI policy.

• Ensure all the vendors, service providers and suppliers are paid on time for smooth functioning of office.

• Develop and maintain tracking sheets for ongoing payments that should serve as backup documentation for releasing installment related payments.

• Track purchase order, agreement and contract ending date and review on time if extension is required.

• Work with the Finance team in admin related work like ticket bookings, arranging cabs, booking accommodation for the team

• Supervise admin staff.

• Managing office supplies, equipment inventory, and petty cash.

• Assist with complete travel/logistical coordination for project team visits.

• Co-ordinate with CHRI IT person and consultant for ensuring smooth connectivity.

• Preparing and checking travel expense reimbursement statements for the project staff.

• Assist in maintenance of Fixed Assets, Fixed Asset record, verification and disposals as and when require.

• Ensure proper record keeping of office records and stock if any.

• Review vendors bills to ensure proper documentations, approval’s etc before submitting the same to Finance Team for review.

• Support HR Lead in organising employee engagement and outreach activities

• Support the Project Lead and HR Lead in administrative tasks

• Perform field visits of field office and meeting/workshop venue for ensuing support services.

• Assist in Safety & Security of Staff as well as office.


Required skills & experience


• Bachelor's degree in management, at least 3 to 4 years of experience in administrative and/or project management and contract functions that demonstrate skill in accounting and administration

• Proven accounting, procurement and administrative skills.

• Good Negotiation skills and hands on market research.

• Demonstrated administrative and/or project management skills.

• Good communications skills - both written and spoken English.

• Proficiency with Microsoft Office suite; particularly Excel and Word.

• Should have eye for details, especially in verification and checking of invoices.

• Attentive, responsive and flexible in approach.

• Experience in serving client.
