Job Description

Overall Responsibilities:


• Support the Programme Officer (PO) in the implementation of the Sponsorship programme

• Visit the Project Units in Delhi, Moradabad and Punjab

• Facilitate/coordinate and conduct visits in different field areas with the sponsored children.

• Manage the Child Data system, verifying by field visits and overall assessment of the child’s progress and maintain the sponsorship records.

• Manage the Sponsors requests and donations

• Timely communicate with sponsors/sponsorship department to maintain transparent information such as use of donation for the children, answering all queries related to sponsorship.

• Work closely with the children and sponsors to retain them

• Coordinate Sponsors’ visits to the field

• Responsible for timely reply of sponsors’ letters, help children to write response letters and other sponsorship related activities

• Explore tools and resources to improve the letter process and manage templates, envelopes, etc.

• Work with finance department to track donations received for child sponsorship program.

• Timely organize events and activities and sponsorship awareness sessions with children and their families.

• Ensure community understand the importance of program.

• Supportive supervision and field visits to triangulate and validate databases.


Implementation of the Sponsorship commitments:


• Support the Program Units for timely and quality production of the Sponsorship Communication items

• Assist PO in preparing the Monthly, Quarterly and Annual reports with case studies

• Conduct regular assessments of the child and report if there are any gaps to PO and ensure the child’s learning abilities are being focussed.

• Ensure a close follow up of Sponsorship production to ensure all commitments are met every month

• Help in publishing the news letter in due consultation with Programme team


Management of the Sponsorship Data:


• Visit the Project Units, communities and families to identify the children for sponsorship enrolment.

• Verify the data shared by the parents and project staff of every enrolled and sponsored child.

• Ensure training of staff and partners/service providers on the Child Data functionalities.

Managing Sponsors’ visits:

• Update the Visitors’ information Guide (VIG) each year to be in line with SARD’s new policies whenever relevant

• Coordinate with the Head Office to ensure all processes and requirements related to the Sponsor visits are followed

• Ensure good coordination with the field to have successful sponsors’ visits.

• Ensure the visit reports are sent out in time to the Head Office

• Ensures that SARD’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and SARD’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.


Technical expertise, skills and knowledge:


Essential:


• Master’s degree in English, Communication, Social Sciences, Development field or related studies

• Working experience in Sponsorship is an asset

• Be conversant with computer and internet : Microsoft Office including Word, Excel, Outlook email, and Child data

• Comfortable in usage of Adobe, Coreldraw, Canva and other design tools for preparing communication material.

• Fluent in English and Hindi

• Data analysis and management

• Knowledge/understanding of NGO operations


Dealing with Problems:


• Ability to deal with sensitive Sponsor requests or complaints

• Ability to handle any Sponsor dissatisfaction that may arise from Family visits

• Capacity to manage cases of Unannounced Sponsor visits

• Capacity the handle multiple requests from the Sponsorship staff and partners

• Good skills in planning and monitoring sponsorship production
