Function:            Management/Admin

Job Type:          Full-time (Probation period of 12 months)

Probation Stipend:  8-10 k per month (all inclusive)

Post-Probation: 25k per month (all inclusive)

Job Summary:


We are looking to hire an Operations Manager who will wear many hats, including the primary responsibility of supporting the CEO ensuring all programs are running as per plan, bringing the right talent into the organization, planning and executing fund raising activities along with other administrative duties.

What your role will entail?

1. Executive Office Management

  • Provide Administrative support to the CEO as and when needed to ensure smooth and successful delivery of results.
  • Anticipate the needs of the CEO and Senior Leadership Team and provide the appropriate support and guidance to ensure the team is operating efficiently and effectively, i.e. Leadership Team meetings, setting up calls etc.
  • Foster productive and collaborative relationships internally and externally on behalf of the CEO.
  • Coordinate speaking commitments, conferences and other official duties as required.
  • Support in the preparation of presentations, creating briefing materials for meetings and events
  • Draft and create organizational reports / CEO update reports to be sent to donors and other stakeholders.

 

2. Project Management

  • Provide coordination and support in the planning of strategic initiatives and special projects as required.
  • Lead or participate in cross-functional project teams or special initiatives to achieve specific outcomes aligned to the organization’s goals and mission.
  • Work with any function in case at times of need for instance: critical projects or jobs to be completed on tight timelines.
  • Create well-organized project timelines that keep crucial company projects on track for
  • The ability to anticipate needs and preferences
  • Expert scheduling proficiency at creating systemized processes
  • Coordinating with all leads, coordinators and volunteers working on multiple projects
  • Communicate tasks, deadlines and follow ups with all teams
  • Regularly update CEO with the daily status report
  • Ensure timely execution of projects by providing necessary support

 

3. HR

  • With the aid of HR volunteers managing end to end recruitment of volunteers, interns, Staff, Board members
  • The role involves timely fulfilling of vacancies, creating JDs, to ensuring smooth onboarding, capacity building, retention of candidates

 

4. Marketing:

  • Achieving fund-raising goals
  • With the aid of marketing volunteers coordinate the marketing tasks –branding, market research, PR, digital marketing etc.

 

5. Miscellaneous roles

  • Manage the regular updates on GCR Website (on Wix Platform) and Social Media handles
  • Maintain compliance calendar
  • Maintain all financial records
  • Support CEO in the Board related responsibilities 
  • Handling official communication of the organization


Eligibility Criteria


  • Graduate and above (in Environmental Science, Economics preferred)
  • Atleast 3 years of relevant experience in project management or HR (recruitment) role reporting directly to upper management
  • Exposure to the non-profit management, Think-Tanks & publication sector is desired
  • Volunteer recruitment & engagement experience with any NPO
  • Working knowledge of the non-profit advocacy environment (domestic & international)
  • Fundraising experience (will be advantageous)


Desired Candidate Profile

Graduation - BSW

Qualifications:

  • Any Bachelor’s/Masters degree

(in Social Work or Environmental Sciences or Alternative Economics or Ecological Economics or Journalism)

  • Certified Scrum Master (or similar project Management qualifications)
  • Any other relevant qualifications

 

 Competencies:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • A Voracious reader who can emerge as a functional subject matter expert (become familiar with GCR vocabulary) based on self-study and guidance from CEO.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
  • Expert level written and verbal communication skills
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
  • Ability to manage Wix-website & social media handle (update) for the organization
  • Graphic Design capabilities (will be advantageous)
  • Ability to work on PM tools like Asana or Trello (will be advantageous)
