Job Description

Designation : Project Officer-Documentation(VA)


Location : New Delhi

Reporting Officer : Project Manager


Main responsibilities are:

A. Project Implementation

1. Ensure project activities comply with the policies and regulations of the donor organization.

2. Assisting the Project Director in overseeing the development and execution of project deliverables, lead project planning, budgeting, action plans and monitoring processes.

3. Responsible for submitting activity reports, meeting minutes and financial reports on regular basis to the donor.

4. Assist the preparation and submission of annual activity, plans and project budgets.

5. Maintain and update Projects Files, documents, records of activities relating to the concerned Project.

6. Compile reports/documents for formulation of advocacy strategies and projects.

7. Undertake field visits for monitoring and evaluation of project activities from media perspective; participate in raid/rescue operations for media coverage.

8. Prepare a 3 monthly calendar of possible advocacy, lobbying activities & advocacy opportunities. On the basis of this, weekly plan should be made & submit it to the supervisor. A brief daily report should also be prepared of the work performed.

B. Documentation

1. Think & suggest the possible action (including solidarity, protest, appreciation & demand letters) on behalf of the organization on the basis of day to day analysis of news tracking.

2. Assist in maintaining website content, audio visual, photo & text content.

3. Be a part of the media & advocacy team in all major activities including raid & rescue operations, demonstrations, rallies, marches etc for the purpose of documentation.

4. Assist in identifying advocacy opportunities. Maintaining documents, records & files about each advocacy campaign, media event separately & submit this to supervisor on weekly basis.

5. Assist in documentation of all inspiring & exciting incidents/stories, success efforts & obstacles for internal learning & external discussion on weekly basis.

6. Publications of periodical, website, communications & awareness raising activities.

7. Perform any other duties/responsibilities assigned by the supervisor.


C. Fund Raising

1. Identify the potential donors, funding organisations and formulate project proposal, concept paper for new potential donors and Funding Agencies.

2. Communication with the NGO's , Grassroot organisations and various stake holders.

3. Assist in preparing media kit, publicity material, newsletter & ascertain regular photo, small video clip & video recording of all the major activities, rescue operations & ensure immediate communication of the same to all forms of media & explore the advocacy opportunities.

4. Networking with other NGO’s & Social Group.
