Job Description

Job Title: State Project Coordinator

Location: MACT Head office, Kodambakkam, Chennai

Position Type: Full-time

Education: MSW/ Public Health/Sociology

Reporting: Project Director

 

Key Responsibilities:

1.     Project Management:

·       Steer-head, implement, and manage all projects in the organization to fulfil its objectives.

·       Manage all project planning, scheduling, and execution to adhere to project timelines.

·       Monitor and report on project plans, schedules, work hours, budgets, and expenditures.

·       Identify, manage and resolve project-related issues or challenges.

·       Organize and lead project meetings.

 

2.    Networking and Stakeholder Engagement:

·       Engage stakeholders, including government officials, government affiliated ministers, partners and community members and build strong relationships to champion initiatives.

·       Represent the organization at relevant meetings, conferences and events.

 

3.    Reporting and Documentation:

·       Collect and consolidate project monitoring/progress reports to the organisation’s director and donors.

·       Collect and consolidate monthly and annual operational work plans from project staff.

·       Maintain accurate and up-to-date project documentation.

 

4.     Financial Oversight:

·       Monitor project budgets and expenditures.

·       Ensure compliance with budgets, financial policies and procedures.

·       Work closely with the finance team to track project finances.

 

5.    Human Resource Management:

·       Supervise and support a team of project staff, including training and capacity-building.

·       Participate in recruitment interviews, draft job descriptions, and ensure adherence to human resource policies of the organisation.

·       Facilitate effective communication within the team and between different organizational levels.

·       Conduct evaluation of the project staff members every 6 months.

·       Assume responsibility for overseeing and assigning tasks to interns within the organization.

 

6.    Evaluation and Monitoring:

·       Conduct regular field visits to monitor project activities, assess impact, and address challenges.

·       Design and implement evaluation mechanisms to measure project effectiveness.

 

7.    Additional Responsibilities:

·       Oversee the creation of communication tools, including campaigns and presentation materials and IEC materials.

·       Ensure the visibility of the organization's projects.

·       Contribute to the design and development of new projects.

·       Collaborate with relevant stakeholders to identify opportunities for program expansion.


Eligibility Criteria

·       Any of the following degrees are acceptable: MSW, Public Health, Sociology

·       3+ years’ experience: 2 years in the field and 1 years in project management, preferably in the health/education related project experience within the NGO sector.

·       Open to extensive travel within Chennai and Tamilnadu.

·       Strong interpersonal, communication, leadership, problem-solving and organisational skills.

·       Excellent knowledge of Microsoft Office Suite and Google Suite

·       Excellent verbal, written, presentation skills along with interpersonal skills in English and Tamil languages.

·       Prior knowledge of public health policies (like tobacco control) and initiatives is preferred.

·       Familiarity with local issues and dynamics

·       Ability to work effectively both independently and collaboratively.

·       Ability to work efficiently with tight deadlines.

·       Commitment to the goals of the project and the values of the organization.
