Job Description

Key Responsibilities:

1. Ensure smooth functioning of the Executive Director’s office by coordinating administrative work related to the Executive Director’s office and communication on behalf of the ED.

• Make all logistics arrangements relating to travel plans of the Executive Director and Board members or other important visitors from donor organisations. 

• Collates reports as required and directed by the ED on office and programatic matters. 

• Responds to straight forward correspondences, queries and enquiries.

• Coordinates staff meeting and other internal meetings.

•  To take minutes of various meetings and finalising the same

•  Maintains a database of key stakeholders and share information regularly as directed and required

2. Organise and document statutory bodies meetings and deliberations of NEG-FIRE to ensure organisational, legal and statutory compliance

•  Ensures full complilance with the Governance Manual in all operations of NEG-FIRE including maintenance of required registers and documents for the same.

•  Compiles and prepares information and data for regular reporting, e.g. Reports to donors, Annual Reports, etc.

•  Organizes and maintains the archive system for documents related to the ED’s Office, including correspondence and reports related to the Board and other statutory bodies of NEG-FIRE. 

3. Liaise internally and externally with various stake-holders as directed to ensure smooth functioning of the Executive Office.

•  Internal: Communicates with Board members, Different departments managers. 

•  External: Liaise on behalf of the ED with partners/NGOs/ Government Departments and other major stakeholders. 

•  Coordinates logistics for ED’s visitors. 

4. Ensure smooth functioning of the front office. 

•  Ensures a high quality service in the communication with external customers and clients through reception, telephone response.

Deserving candidate will be offered a salary betweenRs. 30,000 to 35,000/- CTC per month(depending upon the qualifications, experience) plus social security benefits like– Medical Insuracne, Accident policy, Gratuity, and opportunities for training and development.

Eligibility Criteria

• Graduate Degree in any discipline . • Work experience of at least 3 years or more in an NGO.

1. Must have good command over English and Hindi lanuages (both writing and speaking).

2. Must have excellent computer skills and - MS Office applications such as Excel, Powerpoint, Word etc.

3. Meticulous in handling files.

4. Comfortable with working as a member of a culturally diverse team.

5. Able to deal with pressure, independent mind with high level of integrity and maintain confidentiality.

6. Ability to perform multiple tasks, determine short term priorities and deliver consistently on deadlines.

7. Understand and sensitive to the complexities of working with vulnerable communities.
